1. Introduction

Aurolab (a unit of Aravind Eye Care System), No. 1, Sivagangai Main Road, Veerapanjan, Madurai – 625 020, Tamil Nadu, India ("Aurolab", "we", "us") operates this electronic Instructions for Use (eIFU) portal, which allows healthcare professionals, distributors and other users to search for and download the current Instructions for Use for Aurolab medical devices.

This Privacy Policy explains what personal data we process when you use the eIFU portal, why we process it, on what legal basis, and the rights you have.

2. Personal Data We Collect

The eIFU portal is designed to work without registration and with minimal data collection. We process the following categories of data:

  • Technical and log data. IP address, date and time of access, pages and documents requested (including which IFU documents you view or download), browser type and version, operating system, device type, and referring URL. These are collected automatically in web server logs for security, availability and legal traceability of IFU distribution.
  • Search data. Product names or terms you enter in the eIFU search box. Search queries are processed to return results and may be logged in aggregate to improve the search function; they are not linked to an identified person unless combined with log data for security investigations.
  • Contact data. If you contact us via the "Reach Us" page, email or phone (for example, to request a printed IFU or to ask which eIFU applies to your product), we process your name, organisation, email address, phone number, country, and the content of your enquiry.
  • Printed IFU requests. Where you request a paper copy of an IFU (which you may do at no additional cost), we process your name, postal address and product details in order to fulfil and document that request.

We do not intentionally collect special categories of personal data (e.g. health data) through this portal, and we ask you not to include patient-identifying information in any enquiry. If you are reporting a device complaint or adverse event, we may need to process additional information under our vigilance procedures; that processing is governed by our vigilance and complaint-handling records.

3. Sharing of Personal Data

We do not sell personal data. We share data only with:

  • IT service providers acting on our instructions as processors — e.g. website hosting, cloud infrastructure, and email providers — under data processing agreements.
  • Aurolab, where needed for IT administration or to answer your enquiry.
  • Regulatory authorities, notified bodies and auditors, where required to demonstrate compliance with medical device regulations.

4. Retention

We keep personal data only as long as necessary for the purposes above:

  • Web server logs: 6 months, unless needed longer for a specific security investigation.
  • Enquiry correspondence: 12 months after the enquiry is closed, unless connected to a complaint or vigilance record with a longer statutory retention period.
  • Printed IFU request records: retained in line with medical device documentation requirements applicable to the device concerned (which may extend to the device's documented lifetime).
  • Cookie data: for the lifetimes stated in the Cookie Notice.

5. Security

We apply appropriate technical and organisational measures to protect personal data, including encryption of data in transit (HTTPS), access controls and role-based permissions, logging and monitoring, network segregation, and secure development practices for the portal. eIFU documents themselves are protected against unauthorised modification to ensure that only current, approved IFU revisions are published.

6. Children

The eIFU portal is intended for healthcare professionals, distributors and adult users of Aurolab products. It is not directed at children, and we do not knowingly collect personal data from children through this portal.
